User Availability gives your team more flexibility and control over scheduling. Instead of relying on texts, spreadsheets, or third-party calendars, team members can now set when they are available to work directly in Breezeway.
This feature supports both consistent weekly schedules and availability that changes day to day. Admins can choose to let Supervisors, Office users, and Reps manage their own availability from the mobile app or update it on their behalf. Availability is visible in the User Planning page and task assignment flow, making it easier to schedule the right people at the right time and avoid coordination errors.
Setup
You'll find the setting for User Availability by navigating to your initials in the bottom left corner, selecting Settings then General. By toggling this on, you will select the roles that are able to set their own availabililty. As a default, Administrators can set availabililty for every user.
Setting Individual Availability
Desktop
You will click your initials in the bottom left and select Availiability.
If you work a weekly recurring schedule, set your default availability in the top right. This will allow you to set your weekly recurring schedule.
Click into a day of the week to set the following:
Available all day (I can work all day with no time restraints)
Available certain times (I am available to work a certain shift or shifts)
Not available (I am not available to work)
If you work a more flexible schedule, click on the desired date and set your availability.
Click into a date on the calendar and set the following:
Available all day (I can work all day with no time restraints)
Available certain times (I am available to work a certain shift or shifts)
Not available (I am not available to work)
You can set your default availability and also adjust a specific day. For example, you can set your availability Monday - Friday from 8 - 5pm, and select a specific date to set as unavailable. Any custom days that are adjusted will take precedence over your default availability.
Mobile App
To set availability in the mobile app, click into your name and Availability.
You can set a default availability or edit an individual day. To set default availability, click into Default availability which will open a day view to set your weekly schedule. Click into each individual day to set the following:
Available all day (I can work all day with no time restraints)
Available certain times (I am availabile to work a certain shift or shifts)
Not available (I am not available to work)
To adjust a custom day, click into a specific day. There is no availability set by default. Click Add availability to adjust if you are available all day, available for certain times, or unavailable that day.
Setting Your Team's Availability
As an administrator, you can edit and update other user's schedules. Navigate to your initials in the bottom left and select Manage People and click into a user. From this page, Work Calendar will show a calendar view of any availability that has already been set.
**This is only available on the desktop.
To view a specific day, hover over the icon to see additional times.
To add default availability, click the button Default availability. This is helpful for recurring schedules week to week. This will pop open a view to set recurring availability and days off.
Click the drop down for a specific day. By default, the user will be marked available for the day
If the user is available for some of the day, toggle off All Day and set the available times. By default, we will mark 9-5 pm. Edit the times, or click the plus button to add shifts in the day the user is available.
If the user is not available, click the checkbox to Mark as unavailable.
If you want to clear out the day and start over, you can Remove availability. This will clear any availability set for the day and allow you to re-add an availability.
Custom Availability
While default availability can be great for teams with reoccurring schedules, schedules may change week to week or day by day.
To add a specific day’s availability, click into the calendar day. Here you can:
Select the default available time (if set)
Set custom times the user is available on a specific day
Mark the user as unavailable

User Planning will reflect the changes made in the Work Calendar.
When manually creating tasks, or editing assignees on existing tasks, we will show the availabilities in the assignee drop down.
